Role Profile

ZSL is currently looking for a Team Administrator to support the Chief Operations Officer (COO) at Whipsnade Zoo, to ensure the smooth running of the Zoo and Engagement department. This will involve providing comprehensive day-to-day support to the COO and their direct reports in the form of diary management, acting as the first point of contact on all matters, arranging travel, meetings, animal encounters, conference calls, as well as maintaining manual and electronic filing systems such as staff absence.

 

Reporting to the COO this key position requires a highly organised, reliable and resilient individual who can use their initiative to problem solve. The successful candidate will have the ability to multi-task and stay calm under pressure and build strong relationships with a range of key stakeholders. It is a busy and demanding work environment, requiring you to have a good work ethic and previous experience within an administrative position. This is a fantastic position for an individual looking for employment in an international organisation. You will have exposure to a variety of departments and will have the chance to enjoy the lovely surroundings of Whipsnade Zoo.

Person Specification

The ideal candidate will:

  • Have proven administration experience (or can demonstrate transferable skills) in a busy and diverse work environment ideally working with Senior Managers.
  • Self-starter attitude and is comfortable working without close supervision and managing own workload effectively.
  • Be able to use their initiative to identify ways of improving efficiency / dealing with issues proactively.
  • Have strong and effective written and verbal communications skills with the ability to develop and maintain relationships with a variety of key stakeholders, both internally and externally, presenting a professional confident image.
  • Be able to display tact and diplomacy, dealing discreetly with confidential information and in a secure way.
  • Have excellent organisational skills and attention to details are critical along with the ability to prioritise workloads.
  • Knowledge of databases, reporting styles and editing of documents.
  • Previous experience assisting with invoices, expenses, VAT, receipt.
  • Proven ability to work under pressure with a high degree of accuracy and to tight deadlines.
  • Intermediate IT skills, with a thorough working knowledge of Microsoft Office packages (Excel, Word, Outlook and PowerPoint).

Please note: Please note this is a part-time (3 days a week), permanent position based at ZSL Whipsnade Zoo in Dunstable, Bedfordshire. Office hours are generally 8:30am – 5pm (Monday – Friday) however a high degree of flexibility will be needed to support the WZ Chief Operations Officer and wider business needs. This may include working at London Zoo when required.
