Proforest has a 20+ year track record of supporting the transition to sustainable production and sourcing of agricultural and forest commodities. We are a not-for-profit group with a global presence across Latin America, Africa, Europe and Southeast Asia, and work with governments, the private sector and civil society to deliver positive outcomes for people, nature and climate in the places agricultural commodities are produced.
About the role
Working within a fast-paced and collaborative environment you will play a central role in providing essential support to our Executive Director, Europe and Global alongside providing support to the Global Executive Board (GEB) as a whole. This is an important role in supporting our organisation growth to allow us to deliver our mission in an impactful way.
Key responsibilities include:
Support to Executive Director, Europe and Global
- Manage and prioritise incoming communications and diary management
- Schedule and coordinate meetings, travel and other events, ensuring all logistical details are managed efficiently
- Prepare, edit, and distribute correspondence, presentations, reports, and other documents as required
- Prepare agendas, take minutes, and distribute meeting materials, follow up on action items and ensure timely completion of tasks
- Serve as a liaison between the Executive Director and internal/external stakeholders
- Assist with document preparation, data entry, and report generation
- Handle confidential information with discretion
- Assist with document management.
Support to the Global Executive Board
- Prepare agenda, take minutes and follow up on action items from the Global Executive Board Meetings
About you

Essential:
- Experience as an Executive Assistant or similar administrative role
- Real interest in, and ability to understand, the issues that we work on
- Exceptional organisational and time-management skills with the ability to manage multiple priorities efficiently
- Strong written and verbal communication skills and ability to manage interactions with a network of partners, clients, funders and other stakeholders
- Proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint, Outlook) and other relevant software
- Ability to work independently and collaboratively in a multi-cultural team environment
- High level of professionalism, integrity, and discretion in handling confidential information.
- Flexibility to adapt to changing priorities and handle unexpected challenges with ease.
Desirable:
- Bachelor's degree
- Technical knowledge of the work we do
- Experience working with Director level
- Experience working within the sustainability/environmental sector.

Key information
Location: Central Oxford (please note, there is no parking available)
Salary: £35,000 - £40,000 per annum depending on skills and experience
